Sourcing balm ingredients: grades, documents, batch variation and what adulteration looks like

What cosmetic, food, USP and Ph. Eur. grades do and do not guarantee, the documents to demand, how to read a beeswax spec and the adulteration you can detect.

Two makers can follow the same formula and get different products, and the usual reason is not technique. It is that one bought beeswax with a specification and the other bought beeswax with a description. This page is about the difference: what grade words mean, which documents to insist on, how natural materials vary between lots, and what a small maker can realistically verify without a laboratory.

Short answer

"Cosmetic grade" has no legal definition. "Food grade", USP and Ph. Eur. point at published limits you can check. Ask every supplier for a specification sheet, a batch-specific certificate of analysis and a safety data sheet. Buy oils in a size you will finish within half their shelf life, and keep a retained sample of every lot.

Grade language, and what each word actually guarantees

Grade words are doing very different jobs and are commonly treated as if they were a single scale of quality. They are not.

The single most important gap in that table is freshness. None of these terms address it. An oil can meet its monograph, carry an organic certificate and still be halfway through its oxidative life, because the relevant number is peroxide value and it is rarely the number being quoted. The consequences are on rancidity and oxidation.

The distinction people miss is between the specification and the certificate. A specification says what the material is supposed to be. A certificate of analysis says what this lot measured. A supplier who sends the same PDF for every delivery is sending you a specification and calling it a certificate. Look for a batch number and an analysis date on it.

How to read a specification: beeswax as the worked example

Beeswax is the best teaching example because its published specification contains numbers that mean something mechanically. Reference values give a density at 15 C of 0.958 to 0.970 g/cm3, an acid number of 17 to 24 mg KOH/g and a saponification number of 85 to 100 mg KOH/g, alongside a melt range of 61 to 65 C.

What those mean in plain terms. The acid number is the potassium hydroxide needed to neutralise the free acids in a gram of wax, so it measures free fatty acids. The saponification number is the alkali needed to neutralise the free acids and hydrolyse the esters, so it measures the whole ester plus acid content. Subtract one from the other and you get the ester number, which for genuine beeswax works out at roughly 61 to 83.

Now the useful part. Paraffin and microcrystalline wax are hydrocarbons: they contain no esters and no free acids at all. Cut beeswax with paraffin and both the acid number and the saponification number fall in proportion to how much you added, while the material still looks and largely behaves like wax. Add stearic acid instead and the acid number climbs sharply while the ester number does not follow. Those two failure patterns are why the acid and saponification numbers appear on every serious beeswax specification, and why asking for them is a more effective anti-adulteration measure than any test you can do at home. Note

The same logic applies to liquid oils through density. Codex sets olive oil at 0.910 to 0.916 g/mL at 20 C. Density is easy for a lab and awkward but possible for you, and it is one of the few specification numbers a small maker can approximately check. It will not catch a careful blend of similar oils, but it will catch a gross substitution.

Batch variation in natural materials, and why you keep retained samples

Natural materials are populations, not compounds. Their variation is not a defect and no supplier can remove it.

Shea is the clearest illustration. Across 37 traditional Burkina Faso butters, unsaponifiable matter ranged from 3 to 12%, and the triglyceride StOSt that governs grain is reported anywhere from 30 to 47% of crude butter depending on the study and the provenance. Refining moves the picture again: fractionation puts almost all the unsaponifiables into the olein, so a refined stearin runs about 0.2% unsaponifiable where crude butter runs about 5%. Two butters can both be honestly labelled shea and behave differently in the same formula, which is covered further on shea butter. Beeswax varies with forage, season and rendering. Carrier oil fatty acid profiles vary by cultivar and season, which is why the ranges on the oil comparison table are ranges.

The practical response is retained samples. Keep 20 to 50 g of every incoming lot in a small, full, sealed, labelled jar, stored cool and dark, with the supplier, lot number and receipt date on it. Keep a retained sample of every finished batch too. Two years of this costs a shelf and turns "this batch feels different" from a suspicion into a comparison you can actually make, side by side, against material you know worked. Minimum orders, pack sizes and the oxidation clock

Suppliers price in your favour at volume, and for unstable oils that is a trap. The rule that works: buy a quantity you will finish within about half the stated shelf life, and remember the clock started when the oil was pressed, not when it arrived. Always ask for the production date or the manufacturer's best-before, not just the despatch date.

Waxes and hard butters are the opposite case. Beeswax, candelilla and carnauba are stable for years in a sealed bag away from odours and heat, so a large purchase is genuinely economical. If a minimum order quantity forces more than you can use, split it with another maker rather than accepting a bulk purchase of something perishable. Storage on arrival

  1. Date everything twice. Date received and date opened, written on the container, plus the supplier lot number. Undated stock is unusable stock within a year.
  2. Decant as you use down. An oil bottle that is one third full is two thirds oxygen. Move the remainder into a smaller, full bottle rather than leaving a large headspace.
  3. Cool, dark and stable. Not on a shelf above the hob, not in a sunny window. Temperature cycling coarsens crystals in butters as well as accelerating oxidation in oils.
  4. Refrigerate the fragile ones. Hemp and rosehip, and any nut oil you will hold for months.
  5. Keep waxes away from fragrance. Wax picks up odours from a shared cupboard, and essential oil vapour will find it.
  6. Take the retained sample before you open the bulk. A retained sample drawn six months later is not a sample of what arrived.

Adulteration, and what it actually looks like

Adulteration in these materials is a real, documented commercial problem rather than a paranoid concern, and it concentrates where margins are thin and detection is hard.

  • Beeswax. The classic cuts are paraffin, microcrystalline wax and stearic acid, all of which are cheaper and all of which move the acid and saponification numbers in characteristic directions. Adulterated wax tends to feel slicker, less tacky, and to melt over a wider and often lower range than 61 to 65 C.
  • Olive oil. One of the most adulterated commodities in the food trade, usually blended with cheaper refined oils. Density and fatty acid profile catch it in a laboratory; nothing catches it in a workshop. Buy olive oil for balms from a supplier who publishes a specification, not from a supermarket shelf.
  • "Essential oils" that are fragrance. The two terms are used interchangeably by careless sellers and deliberately by dishonest ones. An essential oil listing with no botanical name, no country of origin, no extraction method and no available GC-MS is not an essential oil listing. A rose, melissa or sandalwood oil at a plausible price for lavender is being extended with something. Details of the material class are on essential oils in balms.
  • Butters blended down. Shea and mango butter can be extended with cheaper fats or with fractions that behave differently. The tell is behaviour rather than appearance: an unexpected slip point or a sudden change in grain behaviour between lots.
  • Relabelled stock. A supplier who cannot name the manufacturer, the country of origin or the lot number is a repackager who may not know either.

Tests a small maker can actually do

None of the following will catch a competent adulteration. All of them will catch gross substitution, and more usefully, they will catch stale material, which is by far the more common problem.

  1. Smell it cold and warm. Assess at room temperature, then warm a little to about 40 C in a spoon and smell again. Warming amplifies everything. Rancidity reads as crayon, putty, cardboard or old nuts. This is the single most informative test you own and it costs nothing.
  2. Check the melt range with a probe. Melt a few grams in a water bath and watch where it clears. Beeswax should be liquid by 65 C, candelilla by 73 C, carnauba by 86 C. A wax that goes liquid noticeably early, or over a very wide range, is worth questioning.
  3. Weigh a known volume. Draw exactly 10.00 mL of a liquid oil into a syringe and weigh it on a 0.01 g scale at a known room temperature. Olive should land at 9.10 to 9.16 g at 20 C. Crude and approximate, but it will expose a substitution with a very different oil.
  4. Set a thin film. Pour a thin layer on a cold tile and look at the set: colour, surface, speed, and whether it crazes. Compare against a retained sample of a lot you trust.
  5. Run a difference test, not an absolute one. Make an identical small batch with the new lot and the retained old lot, side by side, same day, same temperatures. Any difference is the material, because nothing else changed.
  6. Read the certificate against the specification. Free, fast, and more diagnostic than everything above put together. If the CoA has no batch number, no date, or no numbers that appear on the specification, that is your finding.
Safety

Do not taste-test unknown materials, and do not use skin as a screening tool for something you cannot identify. If you buy a material you cannot get a safety data sheet for, you do not know its hazards, its handling requirements or its first aid measures, and it should not be in a workshop where you also handle hot fats. What to ask before you place the order

Six questions, in an email, before money changes hands. Who manufactured this, and where? Can you send the current specification sheet and a recent certificate of analysis? What is the production date, not the despatch date? For oils, what is the peroxide value and when was it measured? For essential oils, can you provide a batch GC-MS? What is the pack size and the minimum order, and can you supply a sample first?

A good supplier answers all six without friction, because they already have the documents and sending them costs nothing. A supplier who treats those questions as unusual is telling you something useful about how they buy. That is worth more than a price comparison, because the cost of a bad lot is never the cost of the material: it is the batch you made with it, the containers you filled, and the time between pouring it and finding out. Once you have a supplier who answers properly, buying at larger volume becomes a planning problem rather than a risk, and the arithmetic for that is on batch scaling.

Frequently asked questions

What is the difference between cosmetic grade and food grade?

"Food grade" points at a real regulation: beeswax, for instance, is listed as GRAS for food use in the US and as E901 in the EU, with published identity and purity limits. "Cosmetic grade" has no legal definition anywhere. It is a supplier's description meaning the material is sold for cosmetic use, and on its own it certifies nothing.

Does USP grade mean an ingredient is better?

It means something specific and checkable: the material is claimed to meet a published United States Pharmacopeia monograph, which sets identity, purity and assay tests with numerical limits. Ph. Eur. is the European equivalent. Neither guarantees freshness, though. An oil can meet its monograph and still be oxidised, because peroxide value is usually not the test being cited.

What documents should a supplier give me?

A specification sheet for the material, a batch-specific certificate of analysis, and a safety data sheet. If you sell what you make, add an INCI and composition statement, an allergen declaration for anything fragranced, and origin statements where relevant. A supplier that cannot produce the first three is not a supplier you can build a product on.

How can I tell if beeswax has been cut with paraffin?

Not reliably at home, but the specification numbers give you a hook. Genuine beeswax has an acid number of 17 to 24 and a saponification number of 85 to 100 mg KOH per gram. Paraffin contributes neither acids nor esters, so cutting with it pushes both numbers down. Ask for a certificate of analysis showing them.

How much oil should I buy at once?

Enough for about half the stated shelf life, no more, and remember the clock started at pressing rather than at delivery. Grapeseed at six to nine months and hemp at six months should be bought in the smallest pack available. Jojoba at five years and squalane at three can be bought in bulk without regret.

Are shea butter grades A to F meaningful?

No. That lettering is a trade and marketing convention with no standards body behind it, and different suppliers apply it differently. What actually tells you something is the specification: refining state, free fatty acid content, slip melting point, and whether the material is whole butter or a stearin fraction. Ask for those instead.

Why should I keep samples of ingredients I have already used?

Because natural materials vary between lots, and a difference test is the only diagnostic a small maker can actually run. Keep 20 to 50 g of each incoming lot, and of each finished batch, sealed and dated in the dark. When a batch behaves oddly, comparing it against a known-good retained sample tells you more than any home test.
